User manual

Hipócrates is Neural Thinkers Lab's clinical platform. It transcribes the consultation as it happens, turns the transcript into a structured note, digitizes paper documents, keeps the patient record, and organizes schedule, staff and billing around all of that.

This manual covers the common path. For the detail of every screen and every field, see the full manual.

Who uses the system

Hipócrates recognizes four profiles, and the menu changes with yours:

  • Médico (Physician): runs consultations, records and reviews transcriptions, signs the record, prescribes and follows up their own patients.
  • Enfermagem (Nursing): logs care, follows the patients under their care and uses the assistant built for the role.
  • Paciente (Patient): sees only their own records, through the Minha saúde (My health) area.
  • Clínica (Clinic): manages staff, links and finance, without clinical access to anyone else's record.

One person can hold more than one profile. In that case the system asks which one you want to sign in as.

First access

  1. Open hipocrates.ntlabs.dev and sign in. You can use Google, GitHub, or email and password.
  2. The system takes you to Onboarding. That is where you choose your profile and, if you are a health professional, enter your license and specialty.
  3. Still in onboarding you choose your plan. Plans and prices come from the platform and change over time, so check what is currently in effect on the screen itself rather than going by any memorized figure.
  4. When you finish, you land on the Painel (Dashboard), the home screen for every profile.

If someone invited you, the path is different: open the invitation link, sign in or create an account, and the link with the physician or the clinic is established on its own.

The AI assistants

Hipócrates has four assistants, and they are not the same thing wearing different names. Each one lives on its own screen and sees a different slice of your data.

AssistantFor whomWhat it does
MinervaPhysicianSecretary. Today's schedule, recent patients and pending exams.
Hipócrates IAPhysicianClinical support during and after the appointment.
FlorenceNursingSupport for nursing care.
LucinaObstetricsSpecialized support, available only for obstetrics and gynecology.

Lucina only shows up in the menu if your registered specialty is obstetrics, or gynecology and obstetrics. If you work in the field and she doesn't appear, what's missing is the specialty on your profile.

Running a consultation

  1. Go to Consultas (Consultations) and click Nova consulta (New consultation).
  2. Select the patient. If they don't exist yet, register them through Pacientes (Patients) and come back.
  3. Start the recording and run the appointment as usual. There's no need to dictate to the system or change how you speak.
  4. Stop the recording. Hipócrates transcribes and structures what was said.
  5. Review before saving. The transcription and structuring are support, not a substitute for your own reading. What you save is what becomes part of the record.

The consultation is later reachable from the Consultas list, and from there you reach the patient's record.

For a better transcription

A decent microphone, an environment without background noise, and one person speaking at a time solve almost everything. Overlapping voices is what hurts most.

Telemedicine

Telemedicina (Telemedicine) opens remote care. The flow is the same as an in-person consultation, recording and structuring included; what changes is that the patient joins through a link instead of through the door.

Records

Prontuários (Records) keeps the patient's history. Besides what comes from consultations, you can digitize a paper document: send the photo or the file, the system extracts the text, and you review it before attaching it.

A well-lit photo, an aligned document and no shadow greatly improve the result.

Patients

Pacientes (Patients) is the list of who is under your care. In Novo paciente (New patient) you register someone, and from that record you can send an invitation so the person can access their own area. A patient who accepts starts seeing their own records under Minha saúde, where they can also open requests to you.

Schedule

Agenda (Schedule) shows appointments and lets you book one. Minerva reads this same schedule, so what you book here is what she answers when you ask how the day looks.

Staff and clinic

Whoever holds the clinic profile manages staff under Equipe (Staff), and nursing has its own list under Enfermeiras (Nurses). Links come in through Convites (Invitations), with tracking of what was sent and not yet accepted.

Auditoria (Audit) logs who accessed what. It's the screen that answers a compliance question, and it cannot be edited by anyone.

Content for your specialty

Especialidade (Specialty) gathers material for your field: Protocolos (Protocols), Calculadoras (Calculators) and Notícias (News). What shows up there depends on the specialty registered on your profile.

Finance, reports and subscription

Financeiro (Finance) and Relatórios (Reports) consolidate activity. Assinatura (Subscription) shows your current plan, what it includes and how to change it. Since plans change, this screen is the only source you can trust about what you have today.

Ctrl+K on Windows and Linux, Cmd+K on Mac, opens search from anywhere in the system. It's the only keyboard shortcut in Hipócrates.

When something doesn't work

Ajuda (Help) brings support material inside the system itself, and Feedback sends your report straight to whoever maintains the platform. If you're from a clinic, it's worth also notifying whoever manages the account, because some access problems are solved through the link, not through support.

Your data

Hipócrates handles health data, which is sensitive data. Access is limited by profile, the access history is logged in Auditoria, and processing follows the LGPD. The terms, the privacy policy and the data protection officer's channel live at www.ntlabs.dev.
